Saved views let you take any mix of filters and sorting, name it, and pin it as a tab at the top of your contacts, companies, or pipeline reports. Building one takes about thirty seconds: click + Add view, name it, add your filters/sorting, and hit Save view. (Step-by-step directions are here.)
So what's worth saving? Anything you'd want to look at again next month without changing the filters. A list of everyone turning 65 keeps working forever, because new people keep turning 65. A list you put together once, for one particular thing, probably doesn't.
Here are twenty-four to get you started, grouped by industry. Many of these ideas are applicable no matter your industry.
🛡️ Insurance
- 🎂 Everyone turning 65 in the next three months: set a Birthday filter to Quarter and Next 3 months, add an Age filter set to 64, and sort by birthday so the soonest are on top. (Step-by-step, including a preset link you can use instead of building it yourself.)
- 🧊 Leads sitting at Quote Presented: filter your Lead pipeline to that status and sort by last updated, so the quotes nobody has chased float to the top.
- 📅 Policies expiring soon: filter your Policy pipeline by Policy Expiration Date to the next couple of months, and your renewal outreach list is always current.
- 👨👩👧 Clients with dependents: filter contacts by # of Dependents. That's your life insurance conversation list, sitting in a field the template already gives you.
🏡 Real estate
- 🗓️ Past clients who closed over a year ago: if you keep a closing date as a custom field, filter it to more than a year ago. Everyone on that list is due a check-in, and people keep joining it on their own as time passes.
- 💲 Buyers by price range: filter the Buyer Lead pipeline by Max. Purchase Price, one view per band you actually work in. When a listing comes in, the call list is already a tab.
- 📣 Leads by source: the Lead Source field covers Open House, Referral, Website, Realtor.com, Trulia, and Zillow. Create a saved view for your most reliable lead source.
- 🔑 Everything in escrow: filter the Seller Lead pipeline to Inspection Completed/In Escrow so nothing falls through the cracks between accepted offer and closing.
🔧 Home services and contractors
- 📍 Your regular service areas: a view per city or zip code you work in often. Every new customer there joins the list on their own.
- 🛠️ Customers due for their annual visit: filter the last service date field to is on or before eleven months ago, and next month's calls are ready before the phone rings.
- 🧰 Jobs by service type: roof jobs, gutter jobs, and seasonal tune-ups each get their own tab instead of tangling together.
- 📝 Quotes waiting on a decision: your estimate status plus a last-updated filter of a week or two. One follow-up call on this list often wins the job.
💼 Consultants and agencies
- 🙏 Leads that came from someone who knows you: filter the Source field to Referral and Past Client so you have an easy list of people to thank for sending you business.
- 🧱 Engagements by service: fill in the Services field on the Client Engagement pipeline with what you actually offer, then save a view for your most frequent services.
- 📤 Proposals waiting on an answer: filter Consulting Lead to Proposal Presented and sort by last updated to keep track of your most pressing follow ups.
- 💤 Clients you haven't talked to in six months: filter Date contact was updated to on or before six months ago.
💛 Nonprofits
- 💌 Donations waiting on a thank-you: filter the Donation pipeline to Received. That's everything that has come in but hasn't been acknowledged yet.
- 🍂 Lapsed donors: filter Date Received on the Donation pipeline to a year or more ago. A lapsed donor is a great source of future donations.
- ♻️ Recurring donors: filter Donation type to Recurring. Keep your recurring donors front of mind.
- 🌱 Grants and partnerships in play: filter the Opportunity pipeline to Decision Pending, so everything you're waiting to hear back on sits in one place.
🎯 Coaching
- 🧭 Clients by goal: Create a saved view for different client goals. If you do leadership coaching plus executive functioning coaching, for example, have a saved view for each.
- 📄 Contracts sent but not signed: filter the Coaching Lead pipeline to Contract Sent and sort by last updated. These are the people who were ready and then went quiet.
- 🔄 Weekly clients and monthly clients: filter Plan Type. Two different rhythms of work, and two lists worth keeping an eye on separately.
- 📬 Past clients: Your past client list is always worth having handy, ready for a check-in or a referral ask.
If your industry isn't on this list
Here are a few general ideas to get you started, that work for most industries:
- 🗂️ A category you sort people into anyway: product, service type, giving level, price range, program, territory.
- ⏭️ A date that's coming up: birthdays, renewals, anniversaries, program end dates.
- 🕸️ A date that's gone stale, or a stage where things get stuck: last contact, last service, last gift, or a pipeline status plus a last-updated filter.
Start with the list you rebuild most often. Build it once, name it, pin it, and it's there tomorrow.
